Privacy Policy

Your data, treated the way we'd want ours treated.

Plain English, no surprises. Last updated 16 August 2026.

Who we are

The data controller.

This website is operated by the Right to Manage subgroup of the Embassy Gardens Residents' Association (EGRA), which is the data controller for the personal information collected here. You can contact us about anything in this policy at info@egra.org.uk or by post: Embassy Gardens Residents' Association, Ambassador Building, 5 New Union Square, Nine Elms, London SW11 7BR, United Kingdom.

If and when an Embassy Gardens RTM Company is incorporated, membership data will be transferred to that company, this policy will be updated, and the company's details will be published on this site.

What we collect and why

Only what the campaign needs.

When you use the registration form we collect your name, email address, building or phase, whether you are a resident leaseholder, investor leaseholder or overseas owner, and the ways you'd like to be involved. We use this so the Embassy Gardens Residents' Association (EGRA) can represent and help manage the community on residents' behalf. In practice that means running the Right to Manage proposal, sending you updates, recording support across the estate, organising membership of the proposed RTM Company when the statutory process begins, and responding to questions you send us.

Our lawful basis is your consent (which you give by submitting the form and can withdraw at any time) and our legitimate interest in representing and managing the community and in exercising leaseholders' statutory rights under the Commonhold and Leasehold Reform Act 2002.

We do not collect anything else. This site currently sets no analytics or advertising cookies.

Who sees it

Never sold. Never marketed. Never passed on.

Your information is seen by the small number of EGRA volunteers who represent and manage the community, and it is used only for that work, the Right to Manage campaign included. Form submissions are processed and stored by Netlify, which hosts this website and acts as our data processor under our instructions, and any specialist solicitors or advisers we engage to run the statutory RTM process act for the community under the same instructions. We will never use your details for direct marketing, and we will never sell them or pass them to anyone else. The one onward transfer is this: when an Embassy Gardens RTM Company is established, the membership details of those who have chosen to join transfer to that company so it can manage the building, as set out above and below.

How long we keep it

Kept while we represent the community.

We keep your information for as long as EGRA represents and helps manage the Embassy Gardens community, so we can keep you informed and act on residents' behalf, the Right to Manage campaign included. If an Embassy Gardens RTM Company is established, the membership data of those who have chosen to join passes to that company under its own privacy policy. You can ask us to delete your information at any time, see below, and we will act on that request.

Your rights

You stay in control.

Under UK data protection law you have the right to see the information we hold about you, to correct it, to have it deleted, to restrict or object to how it is used, and to withdraw your consent at any time. To exercise any of these, email info@egra.org.uk, we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

If this policy changes, we'll say so.

Any material change to this policy will be published on this page with a new date, and registered supporters will be told by email. We will not quietly weaken it.
